Settlement reconciliation

Did the bank settle what it should have?

For every acquirer, unit and business day, reconciliation compares the company’s sales, the acquirer’s settlement report and the credit to the account, and shows where they differ.

In detail

2.1

A settlement batch and its three records

A settlement batch is one acquirer’s settlement for one unit and one business day: a store’s card payments at the tills, the online shop’s card payments, the day’s bonus points. Three records describe it, each from its own source:

  • The sales record — what the company’s till system or order system counted: the number of payments and the turnover.
  • The acquirer’s report — the turnover, the fee, the refunds and chargebacks netted, the net amount, the value date, and a breakdown by issuing bank and card type.
  • The bank credit — what arrived on the account: the amount, the value date and the payment reference.

Each record arrives as a fact in the batch’s own record. Nothing is typed in or overwritten: a late report or a corrected credit is one more fact.

2.2

What counts as a difference

A batch is compared field by field. Differences within the tolerance set for the company are rounding and are not reported. Each batch then has one status — the most urgent of what was found:

  • Matched — all three records agree within the tolerance.
  • Not reported — the day had sales, but no report came from the acquirer in time.
  • Not credited — the acquirer reported a net amount, but nothing reached the account in time.
  • Short credit — the bank credited a different amount from the one reported.
  • Fee difference — the fee differs from what the agreement gives for the cards in the report.
  • Turnover difference — the acquirer reports a different turnover from the company’s own sales record.
  • Awaiting the report — the report is not yet due.
  • Awaiting the credit — the credit is not yet due.
  • Resolved — a person recorded a decision about the difference.

Checking the fees

A blended rate is easy to check. IC++ and on-us clauses are not: the fee depends on every card. Because the acquirer’s report breaks the day down by issuing bank and card type, the platform prices every line under the agreement — the same calculation that prices a payment for routing — and compares the total with the fee the bank kept.

2.4

Online payments and bonus points

For online payments the platform knows each payment it carried, so what a batch should hold comes from those payments. Refunds and lost disputes are netted by the bank in a later batch, and the report says by how much. Bonus points are settled the same way through the company’s bonus system: a tender like any other, with no money moving.

2.5

A person closes a difference

A difference is closed by a person’s decision — accepted, claimed from the acquirer, written off or corrected — recorded with the amount, the reason and the role. The batch keeps its whole history. The reconciliation agent groups fee differences by acquirer into one claim and proposes it; the finance controller decides.

2.6

Into accounting

The platform sends the reconciled batches and their postings to the company’s accounting system: turnover, fee, refunds and net per bank and unit, with the batch reference. The accounting system stays the book of record, and planning stays there too. The same facts feed a data warehouse; each carries its batch, unit and source, so a report can be traced back to the bank’s file.
