Orders and invoices

How do orders and invoices become payments?

An order says what is bought; an invoice says how much is due and by when. The order system creates both through the platform, and every payment event goes back to it.

§ 2

In detail

2.1

The order

The company’s order system stays the system of record for its orders: it creates them through the platform’s interface, reports picking and delivery, and receives every payment event back. An order carries its lines — weighed goods among them — its total, the payer’s pseudonymous handle, its distribution plan and how its money is captured: at once, or after picking.

Its status is never set by hand; it is read from the facts: accepted, picked, shipped, delivered. Picking is reported with the lines as picked: weights, missing items, substitutes.

2.2

The invoice

An invoice is the amount to be paid. Its pay link carries a key that is the payer’s only authority; only the key’s hash is kept. It can be paid in parts, with points and a card, and it is adjusted to the picked amount, with the original kept in its history. Overdue is read from the clock, never stored.

An online checkout’s invoice expires if it is not paid, and its order is cancelled. An invoice sent on terms stays overdue until it is paid.

2.3

Corporate customers: terms and reminders

Offices and businesses order on terms: an invoice due in a set number of days, paid by bank transfer, QR or card. When to remind is a policy of the unit; the collection agent watches the invoices and proposes a reminder where the policy leaves room for one.

2.4

The whole story of an order

The order’s page in the cabinet shows every fact that formed it, whichever record wrote it: the order’s own, its invoice’s, its attempts’, its payment’s capture and refunds, and the settlement batch that carried it. The payer has their own view through the pay link.
